6 Ways to Delegate Effectively
The move from doing to leading is one of the most challenging transitions for leaders to deal with. Eventually, you will have to delegate some of your responsibilities to others. Whether you are a new CEO, influencer, solopreneur, or professional, delegating effectively is one of the most important skills to have if you want to free up time and grow your business.
Finding the right balance is important for maintaining efficiency and effectively utilizing everyone's skills. It's important to understand what needs to be done. Giving clear directions and outlining the task's requirements are part of this.
What is delegation, and why is it important?
Delegating work involves sharing a task alongside decision-making responsibilities in order to boost your team’s commitment, speed up results, and cultivate their abilities. This is also an excellent chance to acknowledge the strength and value that your team brings to the company.
For someone who is used to handling everything by themselves, delegating tasks might be challenging. However, there are ways to practice and improve delegation if you ask the right questions and commit to your goals.
A Gallup study found that CEOs who are good at delegating increase revenue by 33%. Taking your business to the next level requires understanding the value of delegation. To delegate is to increase productivity while demonstrating to your team that you trust them to handle important responsibilities.
How to Effectively Delegate
Delegating effectively as a leader is a skill that requires time, practice, and self-awareness. Here are some ways to help you delegate effectively:
1. Understand “When” and “What” to Delegate
There comes a time when you can no longer do everything yourself. It arrives faster than many entrepreneurs realize. Many people hang on to all the '“to-dos” longer than they should and it stunts their growth.
Ask Yourself:
a) Am I working more than 50 hours a week and getting burned out?
b) What tasks can I only do?
c) What do I need to have oversight and decision making on?
d) What tasks do I hate doing?
e) What tasks could someone do better and/ or faster than I can?
You can start delegating tasks like bookkeeping, inbox management, customer service, social media, affiliate management, routine operations, data entry, reporting, etc.
Your time as CEO is valuable, and focusing on high-value and strategic items that only you can do, will drive your business forward.
2. Select the Right Team for Your Business
Evaluate the skills, knowledge, and weaknesses of your team members. This knowledge will allow you to delegate tasks that are appropriate for their skill sets and give them opportunities to grow.
Curating the right team is going to help you in developing trust with them, resulting in a more productive and healthy environment.
Do you have someone in your team that has the necessary skill set to carry out this particular task?
3. Clearly Define Goals and Expectations
To minimize misunderstandings and promote a healthy working relationship, it is important to provide clear instructions and set expectations when delegating tasks or duties. This lays the groundwork for better collaboration.
Specify the tasks, goals, purpose and deadlines. Make sure that everyone on your team knows the importance of their efforts and what is expected of them. Also, ensure that you set realistic expectations.
As a result, they are more likely to take initiative, make informed decisions, and seek solutions independently.
4. Provide Support and Resources
Provide your team members the necessary resources, training, and support they need to complete the delegated tasks assigned to them. This leads to tasks being completed efficiently and with high quality. At the same time, this will increase their competency and confidence.
By doing this, you encourage your team to take on new challenges and contribute meaningfully to the company’s success.
5. Monitor Progress and Provide Feedback
Keep track of the progress of delegated tasks without becoming obtrusive. Regularly check in with your team members to provide feedback and encouragement. Expect that there will be a learning period.
Ensuring that activities are properly completed and the delegated tasks are handled effectively is important. Without a system for monitoring progress, it’s possible for tasks to lose momentum or for issues to arise.
I’d recommend a weekly check-in meeting. It doesn’t need to be long. Also, use your communication and project management platforms, like Trello, Slack, Monday or MS Teams, to keep connected.
To delegate effectively means striking a balance between involvement and trust, ensuring everyone feels encouraged and driven to perform to their full potential.
6. Continuously Improve
Regularly assess your delegating practices. Adjust based on what works well and what could be improved.
I’d challenge you to ask your employees, Virtual Assistants or contractors to provide you with feedback on what’s working and what could be better.
By properly assessing your delegation strategies, you can make necessary adjustments to your approach to increase your team's overall efficiency.
Learning from both achievements and failures will help you become a more capable and confident leader. This constant process of evaluation and adaptation ensures that your delegation skills continue to evolve and remain effective over time.
